Terms of Service

These terms set out the agreement between you and PropFlow for the use of our property-management software. Read them carefully — by creating an account or using the service, you accept them in full.

Agreement to these terms

These Terms of Service (the "Terms") form a binding agreement between you and PropFlow ("we", "us", "our") governing your access to and use of the PropFlow website, applications, and related services (together, the "Service").

By creating an account, accessing, or using the Service, you confirm that you have read, understood, and agree to be bound by these Terms. If you are using the Service on behalf of an organisation, you confirm that you are authorised to bind that organisation, and "you" refers to that organisation.

If you do not agree with these Terms, do not use the Service.

What PropFlow provides

PropFlow is a software tool that helps landlords and property managers organise portfolios, leases, tenants, finances, documents, and maintenance, and generate the reports built on that data.

The Service is provided on an "as is" and "as available" basis. We add, change, and remove features over time to improve the product. We will give reasonable notice of material changes that reduce core functionality.

PropFlow is a record-keeping and analysis tool. It is not a bank, a payment processor for your rents, a letting agent, a law firm, an accountant, or a tax adviser, and it does not act as any of these on your behalf.

Accounts and eligibility

You must be at least 18 years old and able to form a binding contract to use the Service.

You are responsible for the information you provide when registering, for keeping your login credentials confidential, and for all activity that happens under your account. Notify us promptly at security@propflow.app if you suspect unauthorised access.

You agree to provide accurate account information and to keep it up to date. We may suspend or close accounts that contain false information or that are used in breach of these Terms.

Plans, billing, and renewals

PropFlow offers a Free plan and a paid Pro plan. The Free plan lets you manage up to two properties at no cost. The Pro plan removes that limit and adds priority support for €12 per month.

Paid subscriptions are billed in advance on a recurring basis through our payment processor. By subscribing, you authorise us to charge your chosen payment method for each renewal until you cancel.

You can cancel at any time from your account settings; cancellation takes effect at the end of the current billing period, and you keep Pro access until then. Prices are shown in euros and exclude any taxes that may apply, which are added where required.

We do not provide refunds for partial billing periods, except where required by law. If a payment fails, we may retry it and, if it remains unpaid, downgrade your account to the Free plan. Your data is preserved when you downgrade, but you may need to reduce your active properties to stay within the Free limit.

Acceptable use

You agree not to misuse the Service. In particular, you agree not to:

  • break any applicable law or infringe anyone's rights when using the Service;
  • upload data you have no right to store, or personal data without a lawful basis to process it;
  • attempt to access accounts, data, or systems that are not yours;
  • probe, scan, or test the vulnerability of the Service, or bypass its security or access controls;
  • overload, disrupt, or interfere with the Service, for example through automated scraping or denial-of-service activity;
  • reverse engineer, copy, or resell the Service except to the extent the law expressly permits.

We may suspend access immediately where we reasonably believe these rules are being broken.

Your data

You keep all rights to the content and data you put into PropFlow — your properties, leases, tenants, documents, and financial records ("Your Data"). We claim no ownership of it.

You grant us a limited licence to host, store, process, and display Your Data solely to operate and improve the Service for you, and to do so through the sub-processors described in our Privacy Policy.

You are responsible for the accuracy and lawfulness of Your Data, including having a proper basis to store any personal data about your tenants. You can export Your Data at any time from within the Service. After your account is closed we delete Your Data within the retention window set out in the Privacy Policy.

Our intellectual property

The Service itself — the software, design, brand, logos, and the text and graphics we create — is owned by PropFlow and protected by intellectual-property law. These Terms do not transfer any of those rights to you.

We grant you a limited, non-exclusive, non-transferable right to use the Service in line with these Terms for as long as your account is active. You may not use our name or branding without our prior written permission.

Availability and support

We work to keep the Service available and performing well, but we do not guarantee uninterrupted or error-free operation. The Service may be unavailable for maintenance, updates, or reasons beyond our control.

We may modify or discontinue features at any time. Where a change materially reduces a paid feature you rely on, we will give reasonable advance notice and, where appropriate, a pro-rated refund.

Support is provided by email. Pro subscribers receive priority handling of their requests.

No professional advice

PropFlow provides calculations, projections, and reports — such as yields, cash-flow forecasts, mortgage estimates, and tax-year summaries — for your information only. They are estimates based on the figures you enter and on assumptions that may not fit your circumstances.

Nothing in the Service is legal, tax, accounting, or investment advice, and it is not a substitute for a qualified professional. You are responsible for your own decisions. Always check important figures and obtain professional advice before acting on them.

To the maximum extent permitted by law, we disclaim all warranties that are not expressly stated in these Terms, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

Limitation of liability

To the maximum extent permitted by law, PropFlow will not be liable for any indirect, incidental, special, or consequential losses, or for any loss of profits, revenue, data, or goodwill, arising from your use of, or inability to use, the Service.

Our total liability to you for all claims relating to the Service in any twelve-month period is limited to the greater of the amount you paid us for the Service in that period, or €100.

Nothing in these Terms limits liability that cannot be limited under applicable law, such as liability for death or personal injury caused by negligence, or for fraud.

Suspension and termination

You may stop using the Service and close your account at any time from your settings.

We may suspend or terminate your access if you materially breach these Terms, if required by law, or to protect the Service or other users. Where practical and lawful, we will give notice and an opportunity to fix the problem first.

On termination, your right to use the Service ends. Sections that by their nature should survive — including data ownership, intellectual property, disclaimers, limitation of liability, and governing law — continue to apply.

Governing law

These Terms are governed by the laws of Spain, without regard to its conflict-of-law rules. Subject to any mandatory rights you have as a consumer, the courts of Spain have exclusive jurisdiction over any dispute arising from these Terms or the Service.

If any provision of these Terms is found unenforceable, the rest remain in full effect.

Changes to these terms

We may update these Terms from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you in the app or by email.

Your continued use of the Service after changes take effect means you accept the updated Terms. If you do not agree, you should stop using the Service and may close your account.
